Free time tracking for small teams: what you actually get

A free plan is worth having. A free trial calling itself a free plan is worth knowing about before you put your whole team on it.

For a team of three or four, paying for time tracking is hard to justify before you know it will stick. Almost every vendor has something free. The trouble is that "free" covers at least three different arrangements, and only one of them is any use.

The three kinds of free

• A real free plan. A permanent tier with a user cap. It stays free, your data stays, and you upgrade when you outgrow it.
• A trial in disguise. Free for fourteen or thirty days, then the workspace locks. Fine, but plan the rollout knowing there is a deadline.
• Free but hollow. The timer works, and everything that makes the timer useful — reports, exports, the desktop app — is paid. You find out in week three.

The questions that separate them

1. Is there a time limit, or only a user limit?
2. Does the free plan include the desktop app, or only browser tracking?
3. Can you export your data on the free plan?
4. What happens to your history if you never upgrade — kept, or deleted?
5. Is a card required to start?

That last one matters more than it looks. A card taken "just for verification" is a card that can be charged later, and it is the single most common way small teams end up paying for something they thought was free.

Watch for the desktop app specifically

Free plans very often include only browser tracking. That gives you an hour count and nothing else — no applications, no activity, no idle detection, no screenshots. If the reason you wanted tracking was to know what the hours contained, a browser-only free plan will not answer it, and you will conclude the product does not work when in fact you never saw it.

A sensible way to trial anything

1. Put it on the messiest team you have, not the tidiest.
2. Run it for two weeks, not two days.
3. Log in once as an employee, not only as the admin.
4. Try to correct a wrong entry from last week — that is where tools differ most.
5. Export something before you decide.

When it is worth paying

Usually when one of three things happens: you pass the user cap, you need evidence for a client rather than for yourself, or you find you are exporting to a spreadsheet every month to do something the paid tier does automatically. Until one of those is true, a good free plan is genuinely enough.
